Migration
Can you import existing bookings?
It depends on your current system. However, we can import from most systems and we are certainly happy to try. Migrating is easy.
Does migration affect existing bookings?
No. Your bookings will stay the same.
How long does it take to go live?
As soon as you are ready. Our training session and booking import can speed up the process.
Will I speak to a friendly human at Q-Book?
Yes. We are a friendly UK team, no robots here.
Q-Book & Your Campsite
How much does Q-Book cost?
Q-Book for campsites is just £14.99 + VAT per calendar month, plus 20p per pitch booking and 50p per glamping booking.
Will I be tied into a contract?
No. You are free to come and go as you please, although we hope you stay.
Will you help me to set up Q-Book?
Yes. We will book a training session and show you the ropes. We are always on hand if you need us.
How much is it to connect to Pitchup, Hipcamp, Campsites.co.uk, Booking.com and Airbnb?
Not a sausage. All integrations are free of charge.
Which integrations do you have?
Pitchup, Hipcamp, Campsites.co.uk, Booking.com, Expedia, Google, Airbnb, VRBO, Agoda, Tripadvisor plus many more.
Does Q-Book work with the Edinburgh Visitor Levy?
Yes, Q-Book can help simplify the Edinburgh Visitor Levy. From 1 October 2025, our all-in-one system manages OTA bookings and takes care of the levy automatically.
Payments
Can Q-Book take automatic payments?
Yes. We can automate deposits and balances straight to your bank.
I already have a Stripe account, can I use this?
Yes. Q-Book can connect to your existing Stripe account.
Can you link to my existing merchant provider?
Yes. We need your merchant ID numbers for MOTO and e-commerce.
How much do you charge for payments?
£3.00 + VAT per calendar month and 10p per Stripe transaction or 25p for merchant transactions.
Can I send a payment link to my customers?
Yes. Once payment is made, you will receive confirmation and the balance will automatically update within the booking.
I only accept bank transfers, can I still take bookings?
Yes, no problem.
Q-Book Features
Do you link to Pitchup, Hipcamp, Campsites.co.uk, Booking.com and Airbnb?
Yes. We have a mixture of API connections and two-way iCal connections.
Does Q-Book have free guest messaging?
Yes. Messages from direct bookings, Booking.com, Airbnb and other channels can be managed in one place.
Can I take walk-in bookings?
Yes. It is easy to add a manual booking to Q-Book.
Can I add another pitch or caravan to an existing booking?
Yes. You can add individual guest details for each pitch, caravan or unit.
Can I see who is arriving, departing and staying?
Yes. The overview screen shows arrivals, departures, staying guests, special requests, notes, outstanding balances, check-in details, check-out details and invoices.
Can I customise the emails?
Yes. Customise booking, pre-arrival and post-stay emails. You can also schedule emails to remind customers to book again the following year.
Do you offer dynamic pricing?
Yes. Dynamic pricing adjusts according to demand. When demand is high, rates can increase, and when demand is low, rates can reduce to attract more guests.
Can I have a cut-off time for same-day bookings?
Yes. Based on the time you set, Q-Book can close off all remaining same-day availability and update all connected OTAs.
Can I close availability when my campsite is closed?
Yes. Just pick a start date and end date.
Can I charge a different price on a Saturday?
Yes. You are in full control of your prices daily and seasonally.
Can I charge more for bank holidays and special events?
Yes. You can adjust rates for bank holidays, peak dates and special events.
Can I set a minimum night stay?
Yes. You can set whatever minimum stay you like. It is your campsite after all.
Can I sell three shepherd huts as a group booking and individually as well?
Yes. You can link the three shepherd huts with the individual shepherd huts. This is a great feature for selling to groups while still keeping individual unit availability.
Will I be notified when I get a booking?
Yes. Both you and your guest will receive a confirmation email.
Can I access Q-Book on the move?
Yes. You can access Q-Book from a smartphone, tablet, laptop or desktop computer.
Can I charge a one-off fee for cleaning or damages?
Yes. You can add one-off charges such as cleaning fees, damages, extras and other charges.
Can Q-Book send automatic guest registration?
Yes. You can send guest registration information, directions, places of interest and other useful information. You can also attach PDFs.
Does Q-Book offer reports?
Yes. Reports include transactions, outstanding payments, income, housekeeping, unit volume, sales, occupancy, booking sources and more.
